MindMechanix ("MindMechanix", "we", "us") is a division of AlphaSource Technologies Inc. This policy explains what we collect when you use mindmechanix.app and the MindMechanix member app (together, the "Service"), what we do with it, and the choices you have. We wrote it to be read, not skimmed past.
The short version
- Your private journal and life-goal diary are locked on your own device with a passphrase only you know. We cannot read them. Nobody can, unless you share an excerpt or switch on "Let the Mechanic learn from this" for an entry.
- Your coaching material (Blueprint answers, goals, sessions, anchors) is stored encrypted on our servers under a key unique to you, so we can build your sessions from it.
- We don't sell your information, and we don't run advertising trackers.
- You can download everything, and you can erase everything, any time.
1. What we collect
Account details. Your first name, email address, and, if you choose text check-ins, your mobile number. Sign-in is by emailed link; we never store a password.
Coaching material. Your Blueprint answers, goals, the sessions built for you, your anchors and incantations, check-ins, and notes the Mechanic keeps to shape your sessions. This is stored encrypted under a key unique to your account.
Your private Vault. Journal entries and life-goal pages are encrypted in your browser with your passphrase before they are sent to us. We store only the locked version. If you lose your email access, your passphrase, and your twelve recovery words, your Vault cannot be recovered by anyone, including us.
Hub messages. Messages you send through the Hub are read by the MindMechanix team. The Hub is a shared space; the Vault is the private one.
Payment details. Payments are handled by Stripe. We receive your payment status and the last four digits of your card, never the full card number.
Consent records. When you agree to emails or texts, we record the wording you agreed to, the time, and your network address, so we can prove consent if asked.
Usage information. Standard server logs (addresses, pages requested, timestamps) and simple counts of what you use (sessions built, entries written). We don't record the content of your Vault anywhere.
2. How we use it
- To run the Service: sign you in, build and voice your sessions, deliver check-ins and nudges you've opted into, and answer your Hub messages.
- To build your sessions, your coaching material is sent to our AI providers (currently Anthropic for writing and ElevenLabs for voice) for that purpose only. Journal entries go to them only when you switch on "Let the Mechanic learn from this" or tap "Ask the Mechanic".
- To bill you, through Stripe.
- To keep the Service safe: abuse prevention, security, and legal compliance.
We don't use your information for advertising, and we don't sell or rent it.
3. Where it lives, and who we share it with
Where your data is stored. The member app, your Vault, your coaching material, and our member records (our own CRM) run on Amazon Web Services in the United States. The public website, mindmechanix.app, is hosted on a virtual private server at IONOS; before the member app opens, signups made on the website are held there, outside the public web folder, until they are moved into our AWS system. Long-term storage of inactive accounts is at Backblaze.
Providers. We share information only with the providers we need to run the Service, each bound to use it only for that purpose: Amazon Web Services (hosting, database, email, texts, storage), IONOS (website hosting), Backblaze (long-term storage), Stripe (payments), Anthropic (session writing), and ElevenLabs (voice). Google Fonts serves the typefaces on our pages, which means Google receives your network address when a page loads. We may also disclose information if the law requires it, or to protect the rights and safety of our members and ourselves. We never sell it.
4. Texts and emails
Text check-ins are sent only after you opt in, and only to the number you give us in your Hub. Reply STOP at any time to stop them, or HELP for help. Message frequency varies (up to two a day); message and data rates may apply. Every coaching email carries a one-click link to stop coaching emails. Sign-in links and receipts still arrive when you ask for them.
5. How long we keep it
- While you pay: everything stays, always.
- If you stop paying: you move to the Free plan automatically and keep everything.
- Quiet Free accounts: if an account that has paid before goes 180 days without any activity, we move its data to long-term storage; after 365 quiet days we erase it. For accounts that have never paid, the periods are 90 and 180 days. We email you before each step, and one sign-in brings everything back.
- Erased accounts: we destroy the encryption key, which makes every stored copy permanently unreadable, and keep only a one-way hash of your email so we never contact you again. Routine server backups age out within days.
- Business records (receipts, consent records) are kept as long as the law requires.
6. Your choices and rights
- Download: export your entire vault file from your Vault settings at any time.
- Correct: update your details in your Hub, or write to us.
- Erase: "Erase everything" in your Vault settings destroys your account and all its data at once. It cannot be undone.
- Stop messages: STOP by text, the stop link in any coaching email, or your Hub settings.
Depending on where you live (for example California, the EU or the UK), you may have additional rights to access, port, correct, restrict or delete your information, and to complain to a regulator. Write to us at contact@mindmechanix.app and we'll respond within 30 days. We never discriminate against you for exercising a right.
7. Security
Vault entries are encrypted in your browser with keys we never see. Coaching material is encrypted at rest under a per-member key, and data in transit is encrypted with TLS. Our staff tools are built so that the team cannot read any member's coaching material or Vault, by design. No system is perfectly secure, and the biggest risk to your Vault is losing your passphrase and recovery words, so write them down and keep them safe.
8. Children
The Service is for adults. We don't knowingly collect information from anyone under 18. If you believe a minor has an account, write to us and we'll remove it.
9. International members
We operate from the United States and store data there. By using the Service you agree to your information being processed in the United States.
10. Changes
If we change this policy in a way that matters, we'll post the new version here with a new date and tell you in your Hub before it takes effect.
